Software Update | July 2023

This release was focused on various improvements around online bill pay and Autopay, as well as with the Constant Contact sync.
 


Button-style link on invoices and invoice cover letters to "View/Pay Online"

Having members pay their invoices online is the most efficient method of payment for both you and your members. Now the payment link on the cover letter has a more notable button-style link, providing a more prominent call-to-action.

Invoice Cover Letters 

There is no action needed on your part to begin utilizing the new button style.  You will continue to use the checkbox to "Add link to bottom of email to pay bills online." The button-style will replace the small line of text automatically.
  • Some mail clients may not display the button exactly as we have designed below (i.e., Outlook). Rounded corners and padding may not be applied.
  • The link will take the member directly to the area of the MIC (Member Information Center) where they can make a payment.

Invoice Templates

A new database field "Invoice Pay Online Link" has been created to allow you to add a button-style link to your invoice templates, with flexibility to add it anywhere in the template that works best for you.
  • Select Setup in the Navigation Panel.
  • Click Template Manager in the Billing section.
  • Select the invoice template you wish to edit from the Loaded Template dropdown list.
  • Place your cursor where you'd like the new button and click "Add Database Field" (the icon in the editor with two yellow cylinders).
  • "Invoice Pay Online Link" will be at the bottom under the Billing Template Fields.
  • The link will take the member directly to the area of the MIC (Member Information Center) where they can make a payment.

Reconditioned Autopay invitation default template (GrowthZone Pay only)

Earlier this year we rolled out a new feature which allows members to view and manage Autopay via the MIC (Member Information Center). To assist with the effort of promoting this to your members (and increasing efficiency for you and your staff) we have updated the default Autopay invitation template to reflect the new functionality. 
  • The "Pre defined" template has been modified which you can use, modify as desired, and save as a new document. (i.e., if the ACH instructions are not applicable for you.)
  • Reflects the new functionality and process for members to manage their recurring fees.
  • No longer includes the tear-off section.
  • Direct link URLs simplify the steps, taking members directly to the billing areas of the MIC.

 

Improved process for managing payment profiles for representatives who are removed or reassigned in the back-office

New alerts have been implemented when working with representatives and their payment profiles, allowing you to be proactive in situations where member representatives are being removed or reassigned. This is specific to situations where the representative being removed or reassigned has a payment profile being used for the member's recurring billing. Removing or reassigning the representative without removing their assigned payment profile will cause the credit card payment to fail, ultimately causing delays with you receiving payment.

When removing/deleting a rep that has a payment profile assigned for recurring payments:
  • The representative will be removed.
  • For Autopay: the recurring item(s) that the payment profile is assigned to will no longer be setup for autopay.
  • The payment profile is no longer able to be selected to be used.
  • It is encouraged that members use the MIC to manage their payment profiles and Autopay.


When reassigning/moving a rep that has a payment profile assigned for recurring payments:
  • The representative will be moved.​
  • The same steps above for removing/deleting a rep will apply.

  • Enhancements to the Constant Contact sync process to better handle special characters.
  • Ongoing maintenance and security updates.
